Job Description

Receptionist Position

Summary: The Receptionist is crucial to the success of the practice as the first point-of-contact for clients and callers. The ideal candidate should be warm, welcoming, and attentive with a strong eye for detail and accuracy. Most of the Receptionists time will be spent greeting clients in person and over the phone. The Receptionist will accept referrals from area partners and physicians, schedule clients, and maintain a welcoming, pleasant environment for our guests. The Receptionist will also track new referrals, collect data from clients and referral sources and maintain accurate records using MS Office and Google Workspace applications. When not busy, the Receptionist will restock supplies, refill coffee machine, conduct light cleaning tasks, shred papers, and other duties as assigned.

Essential Functions:

Primary Responsibilities:

  • Arrive on time for work and work your assigned shift.
  • Function as an effective member of the team.
  • Answer phones and assist callers with needs.
  • Demonstrate a positive attitude and welcome our guests.
  • Maintain professionalism and vigilance in protecting client health information.
  • Proactively assist with maintenance of day-to-day business needs.

Secondary Responsibilities:

  • Ensure cleanliness of common areas and select offices.
  • Support billing and collection efforts.
  • Restock coffee cups, paper products, water, and other office supplies.
  • Track inventory of supplies and suggest ordering as needed.
  • Other duties as assigned.

Competency:

  • Computer proficiency specifically Windows OS, MS Office Suite, Google Workspace, and internet navigation.
  • Ability to manage time and tasks independently.
  • Strong data entry and typing skills.
  • Excellent customer service orientation.
  • High degree of accuracy and attention to detail.

Supervisory Responsibilities: None

Work Environment: Indoors, may take garbage out to dumpster occasionally.

Physical Demands: Must be able to sit, bend, stoop, and lift. Position requires sitting 75% of the time; walking or standing 25% of the time, depending on demand. Position requires some light lifting and not more than 25 pounds.

Position Type: 20-30 Hours Per Week, Daytime, Variable at times.

Travel: None required

Preferred Education and Experience: Customer service, front office experience, familiarity with HIPAA
