We are looking for a highly organized and proactive Executive Assistant to provide comprehensive support to senior leadership in Sausalito, California. This position involves managing complex scheduling, facilitating seamless communication, and overseeing daily administrative tasks in a dynamic, fast-paced environment. As a fully onsite, long-term contract role, this opportunity is ideal for individuals who thrive in hands-on settings and are skilled at coordinating multiple priorities.

Responsibilities:
• Maintain and manage executive calendars, coordinating meetings across various time zones and ensuring seamless scheduling.
• Resolve scheduling conflicts proactively while safeguarding critical priorities and focus time for leadership.
• Organize meeting logistics, including booking conference rooms, preparing technology, and ensuring timely follow-ups on action items.
• Plan and coordinate travel arrangements, including flights, ground transportation, and accommodations.
• Handle daily office operations, such as ordering supplies, maintaining an organized workspace, and ensuring the office is well-stocked.
• Act as a liaison for external partners and stakeholders, representing the executive team professionally.
• Support the preparation of executive meetings by compiling relevant documents and ensuring readiness.
• Address ad hoc administrative needs promptly, ensuring smooth day-to-day operations.
• Collaborate with internal teams to streamline processes and enhance efficiency.• At least 3 years of experience as an Executive Assistant or in a similar role supporting senior leaders.
• Proven ability to manage complex calendars and prioritize tasks effectively.
• Strong organizational skills and attention to detail in handling sensitive information.
• Excellent written and verbal communication skills with a focus on professionalism.
• Comfortable working fully onsite in Sausalito, California; remote or hybrid work options are not available.
• Skilled in coordinating travel arrangements and managing logistics.
• Service-oriented mindset with a proactive approach to problem-solving.
• Experience in fast-paced environments, particularly early-stage startups, is highly desirable.
