Our client, a globally recognized investment firm, is seeking an exceptional Executive Assistant to support senior executives in their San Francisco office. This is a high-visibility position requiring impeccable organizational skills, sound judgment, and the ability to manage a fast-paced, dynamic environment with the utmost professionalism and discretion. ***This is a hybrid role based in San Francisco (4 days onsite, 1 remote).

 

Responsibilities:

  • Provide high-level administrative support to a senior executive, managing daily workflow, prioritizing competing demands, and ensuring smooth operations
  • Maintain complex and ever-changing calendars, including internal and external meetings, conference calls, and travel coordination
  • Coordinate detailed domestic and international travel arrangements including flights, ground transportation, accommodations, and meeting logistics
  • Manage incoming communications and phone calls; handle confidential information with discretion and tact
  • Prepare expense reports and track receipts, ensuring timely and accurate submission
  • Reserve and prepare meeting spaces; coordinate with visiting executives and teams
  • Assist with occasional personal tasks and logistics as needed to support executive productivity
  • Collaborate with a team of Executive Assistants across the global organization to ensure alignment and consistent support

 

Requirements:

  • 4+ years of Executive Assistant experience supporting C-level or senior executives in a professional services or financial firm
  • Strong proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Proven ability to multitask, stay calm under pressure, and operate with sound judgment
  • Excellent interpersonal and communication skills; polished, professional demeanor
  • Ability to manage projects independently, take initiative, and anticipate needs
  • High level of confidentiality, reliability, and attention to detail
  • A collaborative, team-oriented mindset and global outlook

 

Salary Range:

$90,000 – $120,000 base salary, plus performance-based bonus and excellent benefits.
