Our client, a globally recognized investment firm, is seeking an exceptional Executive Assistant to support senior executives in their San Francisco office. This is a high-visibility position requiring impeccable organizational skills, sound judgment, and the ability to manage a fast-paced, dynamic environment with the utmost professionalism and discretion. ***This is a hybrid role based in San Francisco (4 days onsite, 1 remote).
Responsibilities:
- Provide high-level administrative support to a senior executive, managing daily workflow, prioritizing competing demands, and ensuring smooth operations
- Maintain complex and ever-changing calendars, including internal and external meetings, conference calls, and travel coordination
- Coordinate detailed domestic and international travel arrangements including flights, ground transportation, accommodations, and meeting logistics
- Manage incoming communications and phone calls; handle confidential information with discretion and tact
- Prepare expense reports and track receipts, ensuring timely and accurate submission
- Reserve and prepare meeting spaces; coordinate with visiting executives and teams
- Assist with occasional personal tasks and logistics as needed to support executive productivity
- Collaborate with a team of Executive Assistants across the global organization to ensure alignment and consistent support
Requirements:
- 4+ years of Executive Assistant experience supporting C-level or senior executives in a professional services or financial firm
- Strong proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
- Proven ability to multitask, stay calm under pressure, and operate with sound judgment
- Excellent interpersonal and communication skills; polished, professional demeanor
- Ability to manage projects independently, take initiative, and anticipate needs
- High level of confidentiality, reliability, and attention to detail
- A collaborative, team-oriented mindset and global outlook
Salary Range:
$90,000 – $120,000 base salary, plus performance-based bonus and excellent benefits.
