Job Description
Searching for an Executive Assistant/Personal Assistant to perform administrative, bookkeeping and personal assistant type tasks for multiple businesses located in the same office. The individual needs to be hyper vigilant and pays attention to detail. The owner is extremely busy and needs hands on help with all the office work for both professional and personal tasks.
Duties include, but are not limited to the following: -Manage multiple company finances such as monthly invoices, payroll, credit card reconciliations, bank reconciliations, paying bills, Quickbooks data entry, etc.-Prepare proposal letters, review contracts, prepare insurance certificates, maintaining and organizing records for several properties and fleet, etc.
-Making calls for repairs and maintenance for various properties
-Scheduling appointments and maintain calendar, including daily reminders of appointment time and deadlines
-Email correspondence with various insurance agents, vendors, employees, etc.
Must not be allergic to cats and dogs and be an animal lover. Must be willing to do light housekeeping and pet care for multiple animals on occasion. Must be
