Job Description
Overview
National Cherry Blossom Festival, Inc., a 501(c)(3) not-for-profit organization based in Washington, DC, seeks an energetic, creative, and passionate Email Marketing Coordinator to assist the Marketing & Communications (MarComm) team in executing the annual Festival. This is a temporary (October 2025 to June 2026) part-time (20 30 hours/week, not to exceed 30 hours) position.
Key Responsibilities
- Lead the strategy, development, and execution of all email marketing efforts, including targeted campaigns, drip sequences, and lead data management.
- Plan and execute integrated marketing campaigns for Festival key initiatives and programming including signature events, community events, Participating Organizations, merchandise ads, etc.
- Collaborate with Festival departments to support events, community programs, business development, sponsorship benefits, and revenue-generation initiatives to meet eblast deadlines.
- Drive strategic conversations with leadership regarding trends, eblast building types, current Festival eblast planning, providing eblast updates to Festival team, etc.
- Manage the eblast calendar on Monday.com, coordinate eblast internal requests, oversee campaign timelines, etc.
- Maintain and enforce Festival brand guidelines across all internal and external communications to general subscribers and key stakeholders to help drive success toward campaign goals.
- Review, manage, and fulfill all 100+ sponsor benefits related to eblasts.
- Write, edit, and develop design and layout of 110+ Festival eblasts to General Subscribers primarily using Mailchimp.com; includes 1-2 monthly newsletters (May February), daily emails during peak Festival season (March - April), targeted outreach campaigns, event-based communications, etc.
- Create digital graphics to accompany Festival storytelling and messaging.
- Produce, maintain, test, and monitor automated email communications.
- Propose and implement testing initiatives (e.g., A/B testing); monitor and optimize email marketing strategies, track ROI and deliver weekly reports, and recommend areas for improvement and growth.
- Source photos to support all eblast features using Festival photo galleries, Participating Organizations database, collaborating with internal community and events teams, etc.
- Propose, develop, and maintain a strategic eblast schedule for Festival merchandise promotional communications.
- Create, design, and layout 25+ merchandise eblasts using Mailchimp.com to a targeted list; includes weekly promotional eblast (August October); special occasion/ holiday promotional eblasts (November February); biweekly promotional eblasts (March July).
- Design merchandise ads for all eblasts as needed.
- Track metrics of all eblasts including but not limited to click rates, open rates, reader engagement, etc.
- Manage, organize, and maintain all email contact lists within Mailchimp.com including General Subscribers, merchandise targeted list, event attendee lists, targeted outreach list, etc.
- Develop a strategy to increase General Subscriber growth and brand awareness.
Additional Responsibilities
- Work closely with social media, communication, and website teams to enhance campaign effectiveness across digital touch points.
- Create materials with design tools or coordinate with graphic designers and other content creators to ensure a cohesive brand voice and visual identity.
- Coordinate with programming and sponsorship departments to ensure accurate dissemination of information to all audiences for assigned festival events/programs.
- Attend all weekly event-focused planning meetings, weekly staff meetings, weekly MarComm meetings, and additional opportunities for collaboration and strategic insight.
- Perform other duties as assigned within the scope of marketing and communications.
Time Requirements
- Part-Time from October 2025 June 2026. 20 30 hours/week. Not to exceed 30 hours/week.
- In-person availability during regular office hours (9 am 5:30 pm) on Monday, Wednesday, Thursday required. Remote work on Tuesdays and Fridays.
- Attend weekly meetings with key team members as needed, virtually or in-person.
- Opportunity to join evening and weekend events for key Festival programs and events onsite in March and April, as NCBF determines.
Salary
$25/hour
Qualifications
- A minimum of two years of experience in communications, marketing, advertising, public relations, or other closely related field is required.
- Strong writer who communicates effectively and clearly.
- Demonstrates a creative, go-getter, always thinking outside of the box attitude.
- Passion for community engagement, the arts, and/or international friendship.
- Creative and collaborative work style with ability to work independently and with multiple teams internally and externally.
- Familiarity with email marketing platforms such as Mailchimp.com, Constant Contact, etc is required.
- Familiarity with task management tools such as Monday.com, Asana, etc.
- Ability to develop and write effectively and communicate multiple key messages to build reader engagement and reinforce calls-to-action.
- Ability to craft timely, accurate, and concise communications tailored to a variety of audiences.
- Adaptable and agile: can organize multiple work assignments and set priorities, meet deadlines, and adjust to changing priorities within a fast-paced environment.
- Ethical, tactful, and diplomatic approach with a strong service mindset.
- Strong relationship management skills.
- Comfort with digital platforms required to complete work.
- Experience with the following platforms is a plus: Adobe Creative Suite (Photoshop, InDesign, Illustrator), Canva, SmugMug, Wordpress, Google Analytics, Brandwatch, Critical Mention.
